April 1, 2018 Lightweight Certification Deadline to compete in the 2018 SRAA Championship, see Lightweights
 
April 9-15, 2018  Go to Regatta Central’s website (www.regattacentral.com).  Check that all your athletes who may compete at SRAAs are on the roster and waivers have been signed.

If you do NOT have a user account with Regatta Central, set up a new account and import your Roster.

Schools without Qualifying Regattas

Schools without qualifying regattas may Petition for “Open Slots” after April 9, 2018. Early acceptance may be given to schools that are traveling from the opposite coast or long distances.  Those schools meeting the requirements for consideration of Early Acceptance will be notified on a rolling basis.  Acceptance of an Open Bid needs to be completed within 48 hours of notification.  Payment or Check Authorization Form is expected at time of acceptance.  The deadline to petition for one of the open slots is Tuesday, May 15, 2018 at 5pm EDT.  All decisions on petitions will be made by Wednesday, May 16th.  At that time, all petitioners will be notified via email from Regatta Central indicating their status:  Accepted, Waitlisted or Denied. 
 

  • To Petition for one of the “Open Slots, log onto Regatta Central and select the Application option for the event in which you would like to petition.  The Petitioner MUST provide a short paragraph justifying the petition entry; include previous results and as much detail as they believe will help the Petition Committee in determining the Boat’s qualifications.  This information in the section labled Attestation.  Without supporting evidence, the petition will not be considered.
  • A subcommittee of the SRAA Board of Directors will consider petitions as they are received; with priority given to competitive teams that do not participate in one of the qualifying regattas.  Again, schools will be notified by email No Later Than Wednesday, May 16, 2018 whether their petition has been Accepted, Waitlisted or Denied.  
  • Schools who receive notice on Wednesday May 16, 2018, must accept the petitioned bid and make payment on Regatta Central No Later Than Friday May 18, 2018 at 11:59PM EDT.   Check Authorization Form is due at this time if paying by check or Purchase Order.  If payment or related paperwork is not received by this deadline, a $100 late fee will be assessed for each entry.  If payment of the entry and late fee are not received by Monday, May 21, 2018 at 11:59PM EDT, the slot will be offered to the first waitlisted entry.
  • Lineups are due No Later Than 11:59PM EDT, Monday May 21, 2018

REMINDER:  After 11:59PM Monday May 21, 2018 you may ONLY substitute up to 50% of lineup

Team Roster Eligibility Form must be completed, SIGNED and emailed to [email protected]No Later Than 11:59pm EDT, Monday, May 21, 2018.  (There is a lnik for the form on your Regatta Central Invoice.)


There is no longer a formal TEAM CHECK-IN process at the venue.  SRAA will have a Board Member on site Thursday afternoon and Friday morning to answer questions.  

Schools with Qualifying Regattas

Because this is an “Invitational” Championship, Schools will only be eligible to enter boats on Regatta Central once they have qualified. 

Please take note of the following instructions:

  • DO NOT ENTER A QUALIFIED BOAT IN A PETITIONED SLOT.
  • YOU MAY ONLY QUALIFY ONE BOAT PER EVENT CATEGORY.
  • YOU MAY NOT PETITION FOR AN OPEN SLOT UNTIL AFTER YOUR QUALIFYING REGATTA.
  • QUALIFIED BOATS WILL BE AVAILABLE ON REGATTA CENTRAL AT 5PM EDT ON THE MONDAY AFTER YOUR QUALIFYING REGATTA.
  • IF YOU DID NOT QUALIFY, YOU MAY PETITION FOR ONE OF THE OPEN SLOTS.  DEADLINE FOR PETITIONING IS NO LATER THAN 5PM EDT, TUESDAY, MAY 15, 2018.
  • After 5:00pm EDT on Tuesday, May 15, 2018, all UNREGISTERED qualified boats will be removed from Regatta Central and their slots become open slots.  After this deadline you will have to petition to be considered for an open slot. The deadline for petitioning is No Later Than 5pm EDT, Tuesday May 15, 2018.
  • After each Qualifier, the Qualifier Representative will be responsible for reporting the results and acknowledging which qualified crews accepted their automatic bids for SRAA 2018.  This information must be submitted to Charles River Timing ([email protected]No Later Than 11:59PM EDT ON SUNDAY NIGHT OF YOUR QUALIFYING REGATTA WEEKEND
    • NOTE:  Only crews who actually qualify may fill the bids from each Qualifying
      Regatta.  If one of the Automatic Bid slots is not filled by the qualifying crews, that Bid will be moved into the “Open Slots” where all crews may petition for that slot.  Example:  GV8 - if a crew did not place in the top 4 in their final; they may not fill one of the automatic bid slots
  • If the Qualifier Results and bid information are not received from the Qualifier Representative by the posted deadline, that Qualifier’s automatic bids will be added to the Petitioned “Open Slots”.  If this window to enter your qualified boat is missed, Schools will have to petition each boat to be included in the Championship.  The deadline to Petition an Entry is No Later than 5pm EDT, Tuesday May 15, 2018
  • At this point, Charles River Timing will authorize entry in Regatta Central and schools will be able accept their bids; make payment by credit card or make necessary notification of check or purchase order payment. 
  • After 12 noon EDT on the Monday following your qualified regatta,  you may log into Regatta Central and populate your qualified boats.
  • If you do not see your entries on the date listed below, please contact Deb at Charles River Timing ([email protected]).
  • DEADLINE to Accept your Automatic Bid and complete the entry process at Regatta Central is 11:59PM EDT on Monday May 14, 2018. 
  • We would appreciate payment of entries at the time of accepting bids.
  • If you do not see your entries on the date listed above, please contact Deb at Charles River Timing ([email protected]).
  • Lineups are due No Later Than 11:59PM EDT, Monday May 21, 2018

 
Petitioning for “Open Slots” for Schools with a Qualifying Regattas:  
Schools  with qualifying regattas may petition for “Open Slots” on or after the Tuesday following their qualifying regatta.   Schools must submit their Petition No Later Than 5PM EDT Tuesday, May 15, 2018.

 REMINDER:  Do not submit a Petition for a Boat that Qualified.**

Payment

For Crews who earned an Automatic Bid:

  • Payment is expected at the time of Accepting your Automatic Bid.  It is due No Later Than 11:59PM Friday May 18, 2018.

For Crews who petitioned for an open slot:

  • Payment is expected at the time of Accepting your Petitioned Bid.   It is due No Later Than 11:59PM Friday May 18, 2018.

 
Credit Cards are accepted on Regatta Central. 
 
All Purchase Order Authorization Forms for Checks or Purchase Orders  are due No Later Than 11:59PM EDT on Friday, May 18, 2018.  Checks will not be accepted without prior authorization.
 
The Purchase Order Authorization Form can be found at the SRAA website.  The Completed Form must be emailed  to [email protected]
 
If payment and/or required paperwork is not received by 11:59PM EDT on Friday, May 18, 2018, a late fee of $100 per entry will be assessed.
 
If payment and/or required paperwork and the Late Fee for each entry is not received by 11:59PM EDT on Monday, May 21, 2018, those entries will be scratched and not allowed to Race.

Chronological Deadlines

March 15, 2018

  • Qualifying Regattas must submit to SRAA the name of a Qualifier Representative to serve in the capacity of notifying Charles River Timing of the results of their Qualifying Regatta and who has accepted their bid to compete at SRAA. (Results must be submitted No Later Than 11:59PM EDT ON SUNDAY NIGHT OF YOUR QUALIFYING REGATTA WEEKEND)

  • Lightweight Certification is due to SRAA
  • Charles River Timing will reach out to the Qualifier Representative from each qualifying regatta to provide them with information.

April 9, 2018

  • Schools without a Qualifying Regatta may begin to Petition for “Open Slots”

  • Deadline for all Qualified Boats to Complete the Entry Process on Regatta Central and  Payment is expected or - if schools miss this deadline, they will have to go through the petition process for one of the “Open Slots”
