On behalf of the Canadian Henley Joint Commission, we look forward to welcoming you and your crews to race week. We will be re-opening the registration portal on Regatta Central until July 27th at 23:50EDT for you to make changes to your entries without penalties.

You will be able to:

·         Change 100% of the crew lineup INCLUDING adding participants off your Regatta Central Roster into a boating lineup thus updating your Henley CER, this includes Wait Listed Boats.

·         ADD coaches to a crew lineup which will add them to the Henley CER and allow them to be issued a coach’s wristband in the club regatta package.

·         Make any scratches of entries without penalty.

By opening the registration portal again for changes, we hope to reduce added race week stressors and time spent in the regatta office.

Safe travels and good racing,

Debbie Sage- Chief Umpire

Peter Scott- Regatta Chair

July 15 2025 - Registration Eve

Dear Henley Community,

As we approach the eve of our registration journey, I want to personally thank each and every one of you on behalf of the Royal Canadian Henley Commission. Your continued participation and support are deeply appreciated. You are truly valued.

Together, we continue to deliver world class racing, on a world class course, with world class volunteers. Together, we create new Henley Experiences and lasting memories. Together, we keep giving, and that does not go unnoticed.

Thank you to those who have taken the time to reach out and express your thoughts and concerns regarding this year’s registration deadline. Please be assured that the 2026 registration deadline will be part of a thorough discussion at our Forward Planning Session this coming January.

As we move forward, I’d like to share a few important notes that relate to the final stages of registration.

Registration Database Closure

The system will be locked at the time listed under Dates and Deadlines on Regatta Central. Once this occurs:

• Entries left in your cart will not be processed

• Name changes after this point will only be handled in person at the Regatta Office

• Rosters will be locked. If an athlete is not entered in a boat or listed as a spare, they will not be active participants on the Club Eligibility Roster (CER). Contact the Regatta Central to have any participant added to your CER. Please be mindful of Regatta Central’s office hours. Best to submit your support request well in advance. The regatta office will not be permitted any additions to your CER.

What Happens After the Deadline

As your work as coaches and team administrators wraps up, my work as Regatta Chair begins.

The schedule must be created quickly, and the Preliminary Draw prepared. During this time, I kindly ask that you help reduce inbox traffic. As friendly as I try to be, I will not be responding to scheduling questions from parents or coaches during this period.

Please do not email name changes. These will only be handled in the Regatta Office.

Also, please do not email about getting off the waitlist. If an entry clears the waitlist, the account holder will be notified directly. If you wish to remove your entry from the waitlist, please do so promptly, as payment will be processed once released from the queue.

The more time I spend answering these types of inquiries, the longer it takes to finalize the draw and open Late Entries.

How You Can Help

What I am looking for at this time are scratches, especially in waitlisted events. This allows us to offer opportunities to other athletes and crews.

When emailing scratches, please include:

• Club or Affiliation

• Event Number

• Boat ID

• A Contact Number

As directed by the Henley Commission, we will be following our Refund Policy as published. Please do not send emails requesting refunds. Scratch fees will not apply until after the Preliminary Draw is posted.

If you’re interested in understanding more about how the regatta is scheduled, I encourage you to review the Daily Calendar or take a look at results from previous years for a general sense of event timing.

It is truly a pleasure to return as your Regatta Chair, and I look forward to welcoming you all back to Henley.

Here’s hoping for good weather, that everyone makes weight on their first try, that coaches attend their meetings, and that we all maintain a safe and respectful environment. Whether this is your first Henley or you’re a returning veteran, I wish you your best Henley Experience yet.

Sincerely,

Peter Scott

Chair, Royal Canadian Henley Regatta
